The survey has the same twist as prior years and requires the clients to be broken out into three strata groups: clients with less than 3 hours; clients with 3 to 4.99 hours; and clients with 5 or more counseling hours (contact plus prep.)

To accomplish this, we added a new report grouping in Center IC last year, i.e. 'Cumulative Sessions Hours 0-3-5'. This grouping will break clients down into the SBA requested strata in any Center IC counseling report. Further, we tweaked the Client List reports (e.g. Client List sorted by last name, business name or number) to include the requested fields when you set report to Output to Excel Raw.

The following steps and report parameters will help you quickly create the required information for SBA.

First, Create a Client List (sorted by Last name) with the following filters and groupings and output it to Excel Raw:

Subject
Customers/List/Sorted by Last Name
Filter
Customers -- Center: All, Customer Status: All, State: is MY (State), Email: >= aa,
Sessions -- Date: Between 7/1/2012 > 9/30/2012, Program: Is SBDC*, Session Type: Is (Initial and Follow-on),
Cumulative Sessions -- Date Range: Between 7/1/2012 > 9/30/2012, Program: Is SBDC*, Session Type: Is (Initial and Follow-on),
Grouping/Settings
Cumulative Session Hours 0-3-5, Center, Customer

Notes: * Your state may be able to include more program ID's.

If you do not have enough clients in your list, you can increase the date range(s).  You could increase the cumulative session date range without increasing the session date range or you can increase both simultaneously.  You can go from 4/1/2012 to 9/30/2012 as the largest range but if this provides too many clients, you could scale to a smaller date range such as 7/1/2012 to 9/30/2012.

If you want only clients with email addresses, add this filter: Email >= aa

Finally, when you have your base list completed (save it for your own records), then you will need to randomly remove clients from the spreadsheet to get to the number of clients in each strata that SBA has requested from your state.  You can move the columns in the spreadsheet to match the SBA format if you prefer.  You may also want to delete some of the unnecessary columns, e.g. Attendee Status, etc.

If you have any questions, please contact Brian Johnson at Center Dynamics.
