Reporting Overview

Reports are combinations of a filter and a layout that staff may run to see all sorts of useful and interesting computations and lists from your data.  Filters and Layouts can be modified and saved for reuse.
  • Permissions
    • Permissions affect how you can interact with reports.
  • Filters
    • Filters limit or choose what data is used on a report.
  • Report Layout
    • A layout is the set of fields seen in a report.  You may use other layouts or select your own fields to build a report from scratch.

The Reports Page

The reports page is where you can interact with all of your own reports in addition to the reports shared by others.  Along the left is the listing of reports.  You can choose to display several different collections: 

Collections

  • Mine
    • All of the reports that you are the owner of.  This list is generally used for reports for interest to yourself. Only you may see the reports in this list, however you may subscribe others to these reports if desired, and they will see them in thier 'Subscribed' list.
  • Center
    • This list is used to share reports with staff members in a center or centers. You may move reports you own to this list for a particular center if you have full center view permission for that center.  Staff with full center view permissions for that center will be able to see the report and run it or subscribe to it.
  • Organization
    • This is similar to the center list but all the reports in this collection will be seen by all staff.  Only administrators can move reports into this collection.
  • Subscribed
    • Reports you have been subscribed to will be seen here.
  • Recent
    • Reports that you have been subscribed to and have been recently run will appear here
  • Gallery
    • These are example reports that are shipped with the system.  They can be run, but cannot be altered or changed or subscribed to.  You can however make copies of the reports to use and modify as your own.
Click on a report in the collection to select it.

Interactive Report Area

In the center of the reports page is the interactive report area.  When you run a selected report, the output will appear live in this area.  You can interact with this area by drilling down of directly drilling down to records in real time.

Report Settings

Along the right side of the page are the settings for the currently active report.  If you are the owner of the report you may modify the filter, layout and other aspects of the report.

  • Filter
    • Here you modify which records the report selects from the database
  • Layout
    • Here you can select which fields are shown in the output
  • Report
    • The name and description of the report can be modified on this tab
    • Sharing
      • You may share the report with others by moving it to the Center or Organization collection
    • Owner
      • You may assign the report over to a different owner, and they will then own that report instead of you
    • Subscribers
      • You may subscribe one or more staff to your report.  When the report is run on a schedule they will get a personalized copy of that report
    • Schedule
      • You may choose to schedule the report to run automatically.  Anyone subscribed to the report will have the report output sent to them.
        • The report will run before business hours on the day they run
